At RecCenterOS, we want you to be confident in your purchase. This Refund Policy explains when refunds apply, how to request one, and what to expect.
1. Free Trial
We offer a 14-day free trialfor all new customers. You can test all features risk-free, with no credit card required. If you don't want to continue, simply don't upgrade — your account will become read-only after the trial ends. No charges, no refund needed.
2. Subscription Plans
2.1 Monthly Subscriptions
Monthly subscriptions are billed in advance. Because:
- You have full access to all features within your plan
- Services are delivered immediately upon activation
- You can cancel anytime to prevent future charges
Refunds are NOT issued for the current month after the plan is activated. Cancellations take effect at the end of the current billing period — you retain access until then.
2.2 Annual Subscriptions (if applicable)
For annual prepayments, partial refunds may be issued if cancelled within 30 days of purchase, prorated for unused months.
3. Eligible Refund Situations
We provide refunds in the following cases:
3.1 Duplicate Charges
If you were accidentally charged twice for the same billing period, we will refund the duplicate amount within 7 business days.
3.2 Service Failure
If our platform has prolonged downtime (more than 48 consecutive hours) due to our fault, you may request a prorated refund for the affected period.
3.3 Billing Errors
Charges made due to system errors will be reversed immediately upon verification.
3.4 Unauthorized Charges
If your account was charged without authorization, contact us within 30 days for investigation and refund.
4. Non-Refundable Situations
Refunds will NOT be issued for:
- Voluntary cancellation mid-billing period
- Account suspensions due to Terms of Service violations
- Failure to use the Service after activation
- Downgrading from a higher plan to a lower plan
- Third-party payment processing fees
- Issues caused by third parties (Khalti, eSewa, internet outages)
- Setup or onboarding services already rendered
5. How to Request a Refund
To request a refund:
- Email billing@reccenteros.com with subject "Refund Request — [Center Name]"
- Include: your account email, transaction ID, amount, and reason for refund
- Provide supporting evidence (screenshots, bank statements)
- Allow 5-10 business days for review
6. Refund Processing Time

Refunds are issued to the original payment method. We cannot send refunds to alternative accounts.
7. Account Closure & Data
After cancellation, your data remains accessible for 30 days for export. After 30 days, your data may be permanently deleted from our active systems. Backups are retained for 90 days for disaster recovery.
8. Member Refunds (Your Customers)
Important: This Refund Policy applies to YOUR subscription to RecCenterOS.
For refunds to your own customers (members booking your facilities), the refund policy is set by YOUR center independently. RecCenterOS is not responsible for refund disputes between you and your members.
You can configure your center's refund policy in your dashboard under Settings > Refund Policy.
9. Disputes
If you disagree with a refund decision, you may:
- Request a review by emailing hello@reccenteros.com
- Provide additional supporting information
- If unresolved, pursue mediation under Nepali consumer law
10. Changes to This Policy
We may update this Refund Policy. Changes apply to future purchases — not refund requests already in progress. You will be notified of material changes via email.
